Translation Services Terms

Translation services are provided according to some standard terms and conditions. Most clients understand and agree with these terms, and recognize why they exist.

Some standard terms follow with our brief comments about them.

What Is An Actual Translation Error?

Standard term: It is our practice to provide high quality error-free translations. Should errors occur despite our best efforts, the following applies:

Affinity shall correct the following errors free of charge upon timely notification: (a) clearly incorrect translations of words/information; (b) omissions of words or information; (c) typos; (d) grammatical errors; or (e) non-adherence to an approved glossary contained in the delivered translation.

There is a difference between an alternate term or expression method and an actual error or something for a translator to correct. Seldom will any two translators translate the same way. So we must set limits on client expectations in this regard. Clients need not accept anything less than quality translation work. However there can be more than one approach to an accurate, acceptable, high quality translation.

Present Questions in Writing and Within A Reasonable Time Period

Standard term: You hereby agree that Affinity shall have no liability or obligation to make corrections to the Translation unless Affinity receives written notification of the error(s) within ten (10) days following delivery of the translation to you. Affinity’s sole obligation with respect to errors shall be the obligation to correct the translation and deliver the corrected translation at no cost to you within fifteen (15) days of receipt of the notice.

In most circumstances we ask for notification from a client within a certain period (e.g., 10 days) if there are any issues in a translation delivery file that need reevaluation. The standard time period we use is 10 days. We’re not sticklers on the time period and routinely extend it if a question or request comes up after 10 days.

It’s Best To Let Professional Linguists Make Updates to A Translation File

Standard term: You hereby agree that Affinity shall have no liability or obligation to make corrections to the translation if you have amended or in any other way altered the translation since its delivery by Affinity to you.

Some clients have some internal language capabilities. Internal personnel are typically not professional translators. The best course of action for client who have questions about translation files is to ask us so our translators can review the question(s) and respond. If non-professional changes are applied to delivered translations then that work is no longer the translator’s delivery.
