Obtaining professional document translation services online isn’t difficult but for those who’ve never done it before there are a few key things to keep in mind.

If translation quality is an important factor for consumers of document translation services then control processes and procedures are important to ask about when evaluating translation companies. The quality of translations produced and delivered by a particular company correlates strongly with the process they have in place and use as their standard operating procedure. There are several standard practices that we’ve seen advertised by companies providing high quality human translation services. They’re listed below with a brief description.

1) Translation only: An assigned translator prepares a translation and delivers it to the client.

2) Translation and self-proofreading: An assigned translator prepares a translation and conducts their own separate independent proofreading of their work prior to completing the project.

3) Translation and second translator proofreading: An assigned translator prepares a translation then subsequently a second translator conducts a proofreading of the first translator’s work and generally makes revisions to improve the translation quality.

4) Translation, editing, proofreading (TEP): A multi-step translation preparation process similar to #3 above but with an additional final proofreading prior to project completion. At least 2 linguists are involved in the process. Although translators must have skills in each language of the language pair they work in (e.g. English-Japanese, English-Spanish, etc.) their first language (native language) is considered their strongest language. In most cases it’s preferred that translators be native speaking in the target language. Sometimes there are exceptions to this rule, most often in some Asian languages and other more rare languages.

Translation of materials created in InDesign requires more than just language skills. InDesign formatting requires attention from InDesign technicians who are experienced in working with languages other than their native language. Expert linguists, native speaking in the target language(s) for the projects are also of course needed.

When the time comes and your business requires translation of InDesign files the process is summarized below:

Send Us File(s)

1) In order to provide a quote for translation of an InDesign document we request that you first send a PDF export of the InDesign file. Client questions in some cases precede the receipt of a PDF for quoting. If you have questions you’re encouraged to send them to us via email or telephone during regular business hours. File Analysis

2) Once you send us a PDF we’ll prepare an analysis of the file to determine the total number of words to translate. The analysis also indicates if any text repetition is present. Text repetitions can lower your translation costs. Translation is priced based on the number of words. InDesign formatting in the target language is priced on a per page basis.

Quote Preparation

3) A written quote is prepared and then emailed to you. If you approve the quote we’ll begin the project.

Text Translation

4) Translation services occurs independent of InDesign formatting. InDesign document text is extracted from the InDesign environment prior to translation. Translation can then occur using professional translation tools that enhance translation quality and minimize project costs for customers. Once translation is complete the translator’s work is proofread by a second translator as a quality assurance measure.

5) Translated and proofread text in the target language is then put back into the InDesign document. Manual formatting adjustment occurs by our InDesign formatting technicians. The original document formatting is retained although some visual differences might be noticed in text positions since some languages require more, or less text, relative to English in order to express equivalent meaning.

Final Revision

6) A PDF export of the newly translated and formatted InDesign document is then reviewed a final time before delivering the entire project to to you. Normally an InDesign translation project is complete at this point, although your can request adjustments (if any, for whatever reason) and in those cases an additional final version is prepared and delivered to you to complete the project.
