For prospective clients inquiring about employee handbook translation services, among the most common initial questions are those concerning the cost, how long the process will take, and sometimes about formatting of the resulting translation file. Our comments on each of these points appears below.

1) Employee Handbook Translation Costs

Fees for professional translation services are most frequently determined by the number of words and the language. Many translation companies have a per word rate established for the languages they translate into or from. Rates vary somewhat for a number of factors, often mainly those associated with economics. Translation services for languages that are less common and have only a small number of translators qualified to work in those languages tend to be higher in price. Also translators that live in countries where the cost of living is higher must also charge a higher rate for their services.

2) Time Requirement For Translation

When clients ask about schedules, how long it will take to have their employee handbook translated, we often ask them when schedule they’re trying to meet? We always try to offer to a schedule that meets a client’s requirement.

For example when shorter schedules are required it can be possible to assign an additional translator to the project to speed up the process. In general we recommend to our translation clients to allow for about one business day for every 2500 source words in the project.

3) Document Formatting

Employee handbooks are operational documents that must look good as well as accurately describe various company policies and procedures. Our company provides formatting services in addition to translation so that resulting Spanish language documents mirror the original English version and are ready-to-use on delivery.

The most common format for employee handbook documents is Microsoft Word. Some employee handbook feature more stylized formatting in applications such as Adobe InDesign. Whatever the format it can be accommodated to preserve the visual aspect of the translated document.

Regular slide text
Translatable text that’s associated with graphical elements, images and things
Embedded video or animation content that includes on-screen text and/or spoken audio narration

The above categories of content make up the translatable elements of most courses we see. Each of them can be translated, localized in specified target languages, according to the direction of clients.

Regular Slide Text

What we refer to as “regular slide text” will appear on most pages of courses authored in Articulate 360 / Storyline 360. Some course pages have minimal text and others have heavier text content. The Articulate 360/Storyline application allows for exporting regular slide text into an external file that’s suitable for translators to work with using translation specific tools (not to be confused with machine translation). At the conclusion of the translation/proofreading process the target language text is imported back into the course for final positioning and adjustment.

Graphics & Images

Graphics sometimes have text associated with them. Since they’re not part of the regular slide text they are not captured in exports using the function described above. Graphics text must be translated separately and then placed appropriately back into the course. It’s not unusual for graphics with text to be found in Articulate 360/Storyline courses although not all courses have them. The main thing to know is that when they are present there’s a way to manage them as part of the standard process.

Videos & Animations

Embedded videos and animations are commonly found as part of Articulate 360/Storyline courses. If they contain on-screen text or voice narration then clients must decide whether translation of the text or narration is desired. Sometimes source language videos are left untranslated.

For translation of video or animation voice narration there are two main options. One is to apply subtitles (text at the bottom of the page) in the target language for translation. The other option, with added cost since a voiceover talent must be hired, is to dub in new audio narration that’s been recorded in the target language.
